Preserve the owner’s original report
Write the complaint in its own section before listing your checks. If the workshop cannot reproduce it, do not quietly replace the complaint with a more convenient test. The owner may have encountered conditions that are absent during a short visit.
Make the tested scope explicit
List the supported checks, accessories, software context and observation period. Mark anything unavailable or declined. “Passed testing” is incomplete unless a reader can tell which functions and conditions were included. Keep the language factual and free of blame.
Offer a useful next record
Explain what additional observations would help if the fault returns, such as an exact message, timing or accessory model. Avoid asking the owner to provoke a dangerous condition. A clear report can say that no fault was reproduced under stated conditions while leaving the original hypothesis open for further evidence.
No failure appears during a short visit
State the observation period and test conditions. Ask for a safe trigger record if the issue returns. An honest non-reproduction report provides more value than a claim that the customer’s reported problem could not have happened.
